• Request for proposals are invited for Let-s Stop HIV Together (Together) Photography Production SOLICITATION SCHEDULE Issuance of RFP: Final Date for Questions: Answers Released: Monday, 04/25/2022 Wednesday, 04/27/2022 by 5:00 PM ET Thursday, 04/28/2022 Proposals Due: Monday, 05/02/2022 by 5:00 PM ET; Any bids received after the stated time and date will not be considered. Notification of Award: Wednesday, 05/18/2022, by 5:00 PM ET; Notification to unsuccessful offerors will be made no later than Friday, 05/20/2022 Pre-Production/Planning  Conduct a discovery meeting, planning and creative work sessions that will allow the team to familiarize themselves with the key messages and overall campaign objectives.  Develop a production package that provides the final photo production plans, high-level mood boards, photography working scene structure, crew assignments, key requirements, project schedule, shot lists, travel, wardrobe, props, locations, project breakdown, etc.  Identify all locations for the two full-day shoots in two cities (one day in San Francisco, one day in Philadelphia).  Present location options for approval in advance, and secure at least three locations in each city (15- 20 setups total), including permits, fees, catering, and insurance.  Develop production books in advance to prepare crew, volunteers, and the client for each day of the shoot.  With oversight from FHI 360, manage all aspects of volunteer recruitment (15 participants, up to half traveling, half local to each city), including creation and management of the recruitment application, conducting pre-interviews and background checks of applicants, and providing travel (airfare, transportation, hotel, per diem), and honorarium arrangements ($400 per volunteer). Early May Production Phase  Provide a full production crew with at least two photographers, and two make-up artists. Portfolios for both photographers and makeup artists must be provided prior to officially joining. Other staff may include a Creative Director, a Director of Photography, PA, and runners. Corresponding travel arrangements for the production crew are also required.  Conduct final location scouting one day prior to shooting in each location in each city with FHI 360 Technical Monitor.  Provide designated location addresses for each of the production days. Late June  Capture photography content over each of the production days.  Provide photographers & equipment to capture participants- lifestyle photography, document behind the scenes, and produce posed and portrait shots per a predetermined shot list.  Provide all necessary technology (including cameras, tripods, lenses, accessories, lighting, etc.) for each of the production days.  Provide signed release forms for all participants.  Provide a viewing area for on-site CDC clients at shoot.  Coordinate travel arrangements to and from all production sites for volunteers and crew.  Provide catering for two meals/day during production for all attendees (staff and volunteers). Post-Production  Deliver color-corrected, rights-free digital photographs in RAW and high-res JPEG formats (at least 100 photos per city).  Upon completion of production, deliver all raw photography on hard drives.  Deliver three hard drives (specs TBD) with an accompanying hard-drive directory. Each hard drive will contain all raw and high-resolution photo files and be Mac-compatible or PC compatible as requested.  Provide volunteer participants with $400 cash honorarium payments and transportation/per diem reimbursements via mailed checks, EFT, or cash cards.
